TEAM EMPIRE Listing Procedure

as of February 25, 2025


Welcome Team EMPIRE! This is the most updated and comprehensive Listing Policy and Listing Procedure for all Listing Agents. 


Eligibility to be a Listing Agent

  • Rental Listing Agent
    • Must close at least 3 validated rental transactions
    • PRC Accredited and DHSUD Registered (Starting June 2025)
  • Brokerage Listing Agent
    • Must close at least 3 validated brokerage transactions
    • PRC Accredited and DHSUD Registered (Starting June 2025)


Training Procedure

The following are the steps in order to receive your Listing Agent Certification and Promotion:

  1. Be eligible to take the Rental and Brokerage Listing Training provided by Filipino Homes, Rent.PH and Team EMPIRE.
  2. Access the Training Course via the following steps:
    1. Open EMPIRE Pro App;
    2. Click on the Menu;
    3. Choose the LEARN Dashboard;
    4. Click COURSES;
    5. Search for ROOKIES GUIDE!;
    6. In the VIDEOS, click EXPAND;
    7. Search for the following videos:
      1. RENTAL LISTING TRAINING or BROKERAGE LISTING TRAINING.
  3. Watch the video of the course you'll take.
  4. Once completed, find the Quiz Link in the video description (via Google Forms).
  5. Answer the Quiz and pass it.
  6. Once we received the notification that you passed the quiz, our assigned CORE Member will process your promotion.
  7. Your Certificate of Completion will be announced in the following:
    1. Announcement Board (Messenger GC);
    2. Blog Post (EMPIRE Website);
    3. Announcement Board (EMPIRE Pro); and
    4. Agent's Milestone (Agent's Profile).
  8. Our assigned CORE Member will update your EMPIRE Rank Status in EMPIRE Pro.
  9. You will also gain access to our LISTING Dashboard.
  10. You will be added to EMPIRE LISTING AGENTS Messenger Group Chat to get the recent updates and announcements concerning Listing Duplication, Sales Validation and Related Announcements.


Sourcing of Listing

Agents are allowed to exhaust all source of listings from property owners, attorney-in-fact (with supporting special power of attorney), trustees and assigns through different means including, but not limited to: 

  • Facebook Marketplace;
  • Facebook Groups;
  • Facebook Pages;
  • Instagram;
  • Direct Call / Text;
  • Viber;
  • WhatsApp; and
  • Referrals from Clients.

The following are NOT ALLOWED  when sourcing out listings without existing clients:

  • Agents and Brokers not affiliated with Filipino Homes;
  • AIFs, Trustees and Assigns who also acts as agents or brokers of the property owner; and
  • Agents and Brokers of Filipino Homes with the intention of brokering the same property to a fellow Agent or Broker of Filipino Homes (where the agent acts as a middleman in the transaction).
SPECIAL NOTE


In simpler terms, Listing Agents are only allowed to source out listings from property owners only. You are not allowed to act as middleman between two agents representing either parties in a real estate transaction. Based on Item 20.2. List sourcing of Filipino Homes Sales And Marketing Partnership's Policy Handbook: "All marketing partners are to only solicit listings directly from the owners and from Leuterio Realty marketing partners. Listings from within Leuterio Realty network shall not be brokered to another colleague."


When listing a property, the agent must ask the following from the property owner:

  1. Is the property open for agents? 
  2. Are you the property owner? 
  3. Ask all the information needed for encoding the property in the app. Please refer to the Listing of Property in EMPIRE Pro App below
  4. Inform the owner regarding RentPH commission agreement and terms of engagement (Scope of Work)
  5. Inform the owner that once you listed the property, there will be other agents from your team who will also market the property for maximum exposure in order to reach potential tenants. 

You must get a YES from each questions/step. If the person you're talking to insisted NO on just one of these, please refrain from listing their property in the system. Thank them for their time and inform them that we might not be the right agent for their property. 


Exclusivity of Listing

Team EMPIRE awards exclusivity of listings based on two cases:

  • Listings are exclusive to just ONE specific agent WITHIN THE WHOLE TEAM EMPIRE if the following criteria are met: 
    • First agent from Team EMPIRE to accomplish a signed Exclusive or Non-Exclusive Authority to Sell (ATS) of RentPH Agency Promotional Agreement (RAPA); and
    • Signed RentPH Commission Agreement (RCA) as attachment of ATS and/or RAPA.
    • Terms/Letter of Engagement
    • All documents must be attached to the Listing Documents section of the specific listing in the EMPIRE Pro App. 
    • Duration of Exclusivity due to ATS/RAPA

      Exclusivity due to ATS/RAPA is only valid within the duration given by the owner to the agent unless otherwise extended. Failure to close the deal within the given duration and/or failure to receive an extension of duration for the ATS/RAPA will result in converting your listing to non-exclusive. 

  • Listings are exclusive to ONE specific agent WITHIN THE DOMAN if the following criteria are met: 
    • First agent from their domain to list the property in EMPIRE Pro.
DUPLICATION OF LISTINGS

There must be no duplication of listings WITHIN YOUR DOAMIN

In order to prevent duplication of listings, you need to check first for the following before listing the property:

  1. Is the property already listed by my sponsor? 
  2. Is the property already listed by my downline who is also a listing agent? 

You just need to check 1 step higher (Sponsor) and 1 step lower (Downline) if they already listed the property. To check if the property was already listed, take the following steps:

  1. Open EMPIRE PRO App;
  2. Go to MARKETPLACE Dashboard;
  3. Go to DOMAIN LISTINGS Tab;
EXCLUSIVITY OF LISTINGS BECAUSE OF ATS/RAPA

There must be no duplication of listings WITHIN THE ENTIRE TEAM

In order for our assigned CORE Member to check and ensure that listings with team exclusivity due to existence of ATS/RAPA, the Listing Agent, upon receipt and attachment of the required documents in EMPIRE PRO, must create a request for CHECKING OF LISTING DUPLICATION.

In case of duplicated listings or checking of listing duplication due to ATS/RAPA, the concerned Listing Agent and/or his/her Sponsor must submit a request. The following are the steps to submit a formal request: 

  1. Open EMPIRE PRO App;
  2. Go to LAUNCHPAD Dashboard;
  3. Go to MY REQUESTS Tab;
  4. Click ADD to create your request;
  5. Select the TYPE OF REQUEST as "DUPLICATED LISTING"
  6. Under the NOTES section, kindly input the following:
    1. For Duplicated Listing within Domain:
      1. Listing ID of your listing; and
      2. Listing ID of the listing of another agent.
    2. For Checking of Listing Duplication within the whole Team EMPIRE due to ATS/RAPA:
      1. Listing ID of your listing
  7. Click SAVE to formally submit your request;
  8. Our assigned CORE Member will act on your request within 24 hours. Expect resolution to be sent in EMPIRE LISTING AGENTS Messenger Group Chat for the settlements and recommendations; and 
  9. Once resolved, you will see your REQUEST STATUS as RESOLVED. 

IN CASE OF DUPLICATION - THE OTHER AGENT MUST inform the property owner by sending this message:

  • "Hi! Good day. Upon checking our system, it looks like that your property was already listed by one of our rent managers/salespersons, Mr./Ms. <Name of the Agent>. Is that correct po?"

OWNER SAYS "YES, I KNOW HIM/HER"

  • "Great! Mr./Ms. <Name of the Agent> is a responsible rent manager/salesperson. As part of our policy to provide the best possible service, it is highly recommended that you continue communication with Mr./Ms. <Name of the Agent>. This way, you only need to entertain one agent while getting the benefit of an entire team of rent managers working to find the right tenant/buyer for your property. With this po, it's my responsibility to inform you that I need to conclude our communication regarding this specific property. Should you need any other help involving a different property, please let me know. Thank you for trusting our team and our company in handling your unit and we look forward to seeing you again."

OWNER SAYS "I CAN'T REMEMBER"  

  • "Don't worry, I completely understand as it is overwhelming to communicate with so many agents when listing your property in the market. Perhaps this is an opportunity for me to inform you that Mr./Ms. <Name of the Agent> is a responsible rent manager/salesperson. As part of our policy to provide the best possible service, it is highly recommended that you continue communication with Mr./Ms. <Name of the Agent>. This way, you only need to entertain one agent while getting the benefit of an entire team of rent managers working to find the right tenant/buyer for your property. With this po, it's my responsibility to inform you that I need to conclude our communication regarding this specific property. Should you need any other help involving a different property, please let me know. I will also advice Mr./Ms. <Name of the Agent> to get in touch with you so that it would be easier on your end to remember him/her. Thank you for trusting our team and our company in handling your unit and we look forward to seeing you again."


Listing of Property in EMPIRE Pro App

The following are the steps to list a property in EMPIRE PRO APP:

  1. Open EMPIRE PRO App;
  2. Go to LISTINGS Dashboard;
  3. Go to PERSONAL LISTINGS Tab;
  4. Click ADD button to start encoding your listings;
  5. Input all required (*) information:
    1. Availability: 
      1. Available - If the property is available for rent and/or for sale
      2. Not Available - if the property is already a closed deal transaction
    2. Direct Listing?
      1. Direct - You're communicating with a property owner, AIF, trustee and/or assigns who doesn't act as agent or broker;
        1. There will be an OWNER field below
      2. Not Direct - You're communicating with an agent or broker.
        1. There will be a NETWORK field below
    3. Listing Type: For Sale AND/OR For Rent. This controls which field must be included in the required information for listing. 
    4. Exclusivity
      1. With RAPA/ATS - For properties with signed RAPA/ATS, RCA and Terms of Engagement; 
        1. NOTE: Please be informed that you can already attach the RAPA/ATS, RCA and Terms of Engagement but the option to select EXCLUSIVE will only be done through a request for validation of one of our assigned CORE Member.
      2. Non-Exclusive - For properties with exclusivity for Domain Level only.
    5. Actual Use
      1. Residential - Used as dwellings, for habitation such as house and lot, residential lots, condominiums;
      2. Agricultural - Used to cultivate agricultural products such as farms and poultry,;
      3. Commercial - Used for mercantile purposes such as retail, office spaces and storages;
      4. Industrial - Used for storage and production of goods such as warehouses, plants, factories, etc;
      5. Mineral - Used for mineral extraction such as mines;
      6. Timberland - Used for forest lands such as farms for pinewoods;
      7. Special - Used for properties used for cultural, hospital and scientific purposes as well as Government-Owned and Controlled Corporations engaged in the supply and distribution of water and/or generation and transmission of electric power.
    6. Property Type: 
    7. Region: NCR, CALABARZON or CENTRAL LUZON
      1. If the location of the property is not yet included in the options, kindly make a request in the Launchpad requesting to add the location of your property.
      2. Based on the location you choose, the following drop down options will appear:
        1. Province
        2. City / Municipality
        3. Area / Barangay
    8. Title: The title must include any unique identifier of the property that can set it apart from the rest of the listings at the time you need to encode closed deals involving this listing. The best recommended format is the property address as follows:
      1. Unit Number - Tower Name - Development Name 
    9. Development: If the property is within a certain condo or subdivision, choose one. If it's not available in the options, as listing agent, you have the freedom to add a new development in the system.
    10. Address: Type in the address of the property that can be seen in Google Maps.
    11. Floor Number
    12. Unit Number: If available
    13. Floor Area: In SQM
    14. Lot Area: In SQM (If landed properties)
    15. Bedroom: Studio to 5. If the property has more than 5 bedrooms, choose 5.
    16. Bathroom: 1 to 5. If the property has more than 5 bedrooms, choose 5.
    17. Parking: 0 to 5. If the property has more than 5 bedrooms, choose 5.
    18. Deliverable:
      1. Bare - The property doesn't have any fixtures.
      2. Semi-Fitted - The property has some essential fixtures such as lavatory, lights, faucets, bidet, etc.
      3. Fully-Fitted - The property has all fixtures and immovable items including air conditioning unit, window blinds or curtains, built-in closets, range hood and stove/cooktop. 
      4. Basic Furnished - The property also includes basic furnishing such as bed, table and chairs, refrigerator, sofa, etc.
      5. Fully Furnished - The property also includes washing machine, ironing boards, plates and cutleries, cooking essentials, etc. You only need to bring your clothes. 
    19. Pets:
      1. Prohibited - Not allowed
      2. Limited - Allowed but with restrictions from the owner or admin
      3. Allowed - No Restrictions
    20. Smoking: Prohibited or Allowed
    21. Foreign:
      1. Prohibited - Only Pinoy Tenants
      2. Limited - Allowed but with restrictions from the owner or admin
      3. Allowed - Any nationalities can lease the unit
    22. Sublease:
      1. Prohibited - Not allowed
      2. Limited - Allowed but with restrictions from the owner or admin
      3. Allowed - No Restrictions
    23. Pax: the maximum number of allowed occupants
    24. Rental Rate: The amount of rent to be received by the owner
    25. Last Rate: The minimum amount of rent to be received by the owner
    26. Deposit and Advance: Required No. of Months
    27. Mode of Payment (Rent): Acceptable MOP of the owner
      1. Bank Transfer / Direct Deposit 
      2. PDC
      3. Cash / Full Advance
    28. Last Term: Any other terms for reference
    29. Lessor Expense: The expenses INCLUDED in the monthly rental rate
    30. Lessee Expense: The expenses SHOULDERED by the tenant
    31. Duration: The minimum duration acceptable to owner
    32. Selling Price: The price to be received by the owner
    33. Last Price: The minimum price to be received by the owner
    34. Net to Owner: The minimum amount the owner wants to take home net of any deductions
    35. Mode of Payment (Sale): Acceptable MOP of the owner
      1. Cash 
      2. Financing 
    36. Seller Expense: The expenses INCLUDED in the Selling Price 
    37. Lessee Expense: The expenses SHOULDERED by the buyer aside from the selling price
    38. Financing: the preferred financing options offered by the owner
    39. Initial Terms: Terms of Sale
    40. Last Terms: Last terms the owner is willing to settle for selling the property
    41. Title Type: The title in owner's custody
      1. OCT - the first-ever title of the property (the owner is the first owner of the land)
      2. CTC - the subsequent title of the property (the owner bought the property from the previous owner of the land)
      3. CCT - the title for condominium units 
    42. Title Status: Check all that applies
      1. Clean Title - the property doesn't have any issues. The property is only considered clean if you will not choose any other options below.
      2. Deliquent RPT - With Tax Lients - the property has unpaid real property taxes from the City Assessors' Office of the LGU (amilyar)
      3. Extrajudicial Settlement - at least one owner in the listed names of the owner in the title is already dead
      4. Assume Equity - the property is being resell during preselling stage of the property and it hasn't been applied for financing yet. This means the that the seller is paying monthly equities to the developer.
      5. Assume Financing (With Mortgage) - the property is being resell during financing stage. This means that the seller is paying a monthly amortization to either Bank or Pag-IBIG.  
      6. With Lease Contracts - the property is being rented by another entity.
      7. With Easement or Right of Way - the property is being used for purposes not suited for habitation. 
      8. With Attachments and Court Orders/Cases - the property is being frozen for potential liquidation because the owner has a pending court case which prevents the owner from selling the property. 
    43. Reason for Selling - Input the reason why the property is being sold
    44. Commission: Include in % or in Amount
    45. Agent: YOU as the listing agent
    46. Owner / Network: Choose from among your contacts. Ensure that the owner or the network is already encoded and properly categorized before listing a property.
    47. Listing Link: If you're posting the property in a centralized place such as your own Facebook Page, you can input here the link of the post.
    48. Main Photo: The first photo seen in the app
    49. Notes: Include all information allowed for posting
    50. Listing Documents: Any documents related to the listings such as ATS, RAPA, RCA and Terms of Engagement. You can also include property documents for selling such as Title, Tax Declaration, and more.
    51. Listing Timelines/Updates: Any updates and/or changes in information of the property from the initially listed information, you can include here for easy tracking.
    52. Photo Gallery: Upload all photos WITH WATERMARK in this section. 
    53. Rental Rate / SQM and/or Selling Price / SQM: Automatically Calculated based on your inputs for the listing.
    54. Development Listing Rental Rate / SQM and/or Development Listing Selling Price / SQM: The average listing rate and prices for the condo or subdivision
    55. Development Closed Rental Rate / SQM. and/or Development Closed Selling Price / SQM: The average closing rate and prices for the condo or subdivision.
    56. Rental Affordability Rate: 
      1. Positive Value - your property is listed Above Market Rate (Mas Mahal)
      2. Zero - your property is listed At the Market Rate
      3. Negative Value - your property is listed Below Market Rate (Mas Mura)
        1. Properties with negative rental affordability rates are included in the PRIORITY LISTINGS.
PRO TIP

Save the listing first before adding listing documents, timelines/updates and photos.


Listing Posting Requirement

The following information and format must be included in your postings:

  • Listing ID
  • Agent Code of the Listing Agent
  • Signature of the Agent

    • INCLUSION OF PRC INFORMATION

      Starting June 1, 2025, all agents must include the 1) Broker's Name, 2) PRC License Number, and 3) Expiration Date.

      Once the agent received their own PRC Accreditation and DHSUD Registration details, agents must include his/her 1) PRC Accreditation Number, and 2) Expiration Date.

  • WATERMARK ON LISTING PHOTOS  (Starting April 1, 2025, all new listings' photos must be uploaded in the app and listing GCs with watermark already). Follow these steps to easily apply the Team EMPIRE's official watermark to your listing photos:
    • Save the watermark as PNG file from THIS LINK
    • Save the photos that you wanted to put watermark into your device.
    • Open and save THIS LINK to easily put watermark on your photos. This is a free platform.
    • Click SELECT IMAGES to upload your photos. You can upload in bulk.
      • PRO TIP

        Only upload multiple photos as one batch that has the same size and dimension. Meaning, if your photos are mixed of portrait and landscaped photos, it is recommended to do two batches. Put a watermark first for landscaped photos then another batch for portrait photos (or vice versa).

    • Click on ADD IMAGE to add the Official Watermark
    • Click on ADD TEXT if you want to add unique texts as watermark
    • Below is a sample of the watermark placement
    • Once added, the way you placed the watermark will be the same for all photos. There's no need to edit each images. This is the reason why you do this by batches (Landscape, Portrait).
    • Once satisfied, click WATERMARK IMAGES to download the rest of the photos with watermark as ZIP File. 
    • Extract the photos from the ZIP File to use it.


Listing Buttons

Primary Buttons are: 

  • Edit - Edits the listing
  • Delete - Creates a request to delete listing
  • Thumbs Down - Mark the listing Not Available
  • Thumbs Up - Mark the listing Available
  • Bell - Updates the "Date Updated" to Today

Secondary Buttons are:

  • Pin - Show the property location on the map
  • Agent - Shows the Listing Agent information
  • Owner - Shows the Owner's Information
  • Share - Opens the Listing Link
  • Development - Shows the Development Page


Listing Maintenance

Listings must be properly maintained and updated at all times. This is the reason why there's a dedicated tab for DUE FOR UPDATE in the Launchpad and Listings Dashboards. 

All property listed that will appear on this dashboard means that the property can either be:

  • [Marked as Available] - Probably outdated because the property was updated more than 10 days ago; or
    • You can use this to get back to your owner and ask if the property is still available or not anymore and if there are changes in the rate, price, terms, inclusions, etc.
  • [Marked as Not Available] - The property was not able because it is tenanted but it will be available within the next 50 days based on the "Unit Available By" 
    • You can use this as reminder that if you're the one who leased out this listing, your tenant only has 50 days prior to expiration of the lease. The current tenant will either renew the lease or just complete the term. 
PRIORITY LISTINGS

The following criteria must be met if you want your listing to be included in the Priority Listing Dashboard:

  • Direct listings only;
  • Available listings only; 
  • Listings that are updated in the last 10 days; and
  • Negative Value in Rental Affordability Rate.

OR, it some properties, whatever their rate is, will also be added as priority listing if the agent was able to secure the following:

  • RentPH Agency and Promotional Agreement (RAPA); and
  • RentPH Commission Agreement (RCA)
